Iolite Point, LLC respects your privacy and is committed to handling personal information responsibly. This Privacy Policy explains the information we collect, how we use and protect it, and the choices and rights that may be available to you.

Information We Collect

We may collect personal information you choose to provide, including your name, contact information, intake or discovery responses, coaching goals, scheduling information, payment-related information, communications, and information you choose to share during the coaching relationship.

How We Use Information

We use personal information as reasonably necessary to provide and administer coaching services, including:

  • Providing coaching services and communicating about sessions, forms, scheduling, and follow-up;
  • Managing billing, records, document storage, and business administration;
  • Operating and improving our services and technology;
  • Complying with legal, tax, accounting, insurance, and other applicable obligations; and
  • Protecting the rights, safety, security, and integrity of the business and its clients.

Where privacy law requires a legal basis for processing, we rely as applicable on performance of our agreement with you, legitimate business interests, your consent, and compliance with legal obligations.

We treat information shared in the coaching relationship as confidential, subject to the confidentiality terms and limitations described in the Coaching Services Agreement and applicable law.

Client Ideas and Business Information

Business ideas, goals, plans, creative concepts, and professional pursuits shared during coaching are treated as client information. We do not sell them or knowingly use a client’s confidential ideas or business pursuits for our own benefit without permission, except as required by law.

Service Providers and No Sale of Personal Information

We do not sell personal information or share it with third parties for their independent marketing purposes.

We may use service providers to support ordinary business operations, including videoconferencing and scheduling, email, document storage, payment processing, accounting, legal or insurance services, and technology support. Current core technology providers include Zoom for videoconferencing, scheduling, and optional AI-assisted session summaries, and Proton services for business email and document storage. Providers process information under their own applicable privacy and security terms and only as needed for the services they provide.

Videoconferencing and AI-Assisted Session Summaries

With notice to Client, Coach may use an artificial-intelligence-enabled feature provided through the videoconferencing platform to assist in preparing a written summary of a coaching session. The platform may process session audio or speech-to-text data to generate the summary. Coach reviews AI-generated summaries before using or sharing them, but summaries may contain errors or omissions. Client may decline the use of AI-assisted summarization or request that it be discontinued at any time without affecting the coaching relationship.

Any final session summary retained by Coach is stored using the business’s document-storage service. Temporary materials are deleted when no longer reasonably needed, subject to the provider’s own processing and retention practices and any applicable legal or business requirements.

Aggregate and De-Identified Information

We may use aggregate or de-identified information to understand general client needs, service trends, and business operations. We do not intentionally identify individual clients when using information in this form.

Data Retention and Security

We retain personal information only as long as reasonably necessary to provide services, maintain appropriate business records, comply with legal obligations, resolve disputes, and protect our rights. We use reasonable administrative and technological safeguards, but no method of electronic storage or transmission is completely secure.

Your Privacy Rights

Depending on where you live and the law that applies, you may have rights to request access to, correction or deletion of, restriction of, or a copy of your personal information; to object to certain processing; or to withdraw consent where consent is the basis for processing. You may also have the right to lodge a complaint with an applicable data-protection authority.

To make a privacy request, contact admin@iolitepoint.com. We may need to verify your identity and may retain information when permitted or required by law.

International Processing

Coach and Client may be located in different states or countries, and service providers may process information in jurisdictions other than your own. If personal information is transferred across borders, we will take reasonable steps required by applicable law to protect the information and use appropriate transfer mechanisms where required.

Children

Our services are intended primarily for adults. We do not knowingly collect personal information from a child where parental or guardian consent is legally required without obtaining appropriate authorization.

Updates

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. The current version will identify its effective date.

This Privacy Policy is provided as a privacy notice and is not intended to create contractual rights beyond those required by applicable law or expressly agreed to in the Coaching Services Agreement.
